This sequence runs every time a meeting is booked. No exceptions. Every rep needs a Sendblue seat. If a seat is missing, raise it immediately.
End to end, this gets show rate to 80%+. That number is the single biggest lever on whether the run hits target.
Step 1: Call the moment they book
The instant a meeting hits the calendar, call them. Not text first. Call.
Script:
“Hi [name], it’s [your name] from Marketer.com. Saw that you just booked a time on my calendar. Is there anything I can do or prepare before our call to make it as valuable as possible for you?”
That is it. No pre-pitch. No qualifying. Just: how can I make this useful.
Two effects:
- Signals you are a real human who cares about the call being good.
- Ten times harder for them to ghost the meeting later.
Step 2: Text via Sendblue if they don’t answer
“Hey [name], this is [your name] from Marketer.com. I saw you just booked in on my calendar. Just had a look through your website and socials. I had a few questions that I want to go over on the call but is there anything that I can prepare for you so that we have the most valuable conversation for you?”
The “just had a look through your website and socials” signals you are not a script.
Step 3: Schedule the 3-hour reminder
Send 3 hours before the meeting:
“Hi [name], this is [your name] from Marketer.com. Just confirming our meeting today at [time]. Looking forward to connecting. Time still works?”
The “time still works?” matters. It gives a graceful out, which surfaces reschedules early instead of letting them ghost.
